Workflow automation for small businessSouthern Indiana + Louisville

Business process automation services.

Inquiries arrive, estimates go out, and the next step depends on someone remembering it. I connect the forms, records, reminders, and staff actions around that work, starting with the tools your business already uses.

Built in New Albany, Indiana, for owner-led businesses. Workflow implementation is scoped separately from website builds and monthly website care.

The website connects
to the work behind it.

Clarksville, Indiana / Membership operations

The Bay Cigar Lounge

Problem
The lounge needed a public website and a connected way for staff to handle membership inquiries.
Solution
I built the website, member tools, and staff workspace. Tour requests save the visitor’s details for review; the implemented staff alerts use email and in-app notifications.
Operational benefit
Staff review inquiries and create each approved membership. That record connects member access and check-in. A tour is optional, and a public request does not create a membership automatically.

The Union connection uses an hourly, auditable export of approved reports. Matched inventory updates and exceptions go through the defined process, with staff reviewing unmatched items. Union remains the retail source of truth.

Minds Unraveled

Problem
A practice’s initial request needed to stay attached as the work moved through lead review, an agreement, and onboarding.
Solution
The original inquiry keeps its services, timing, and contact preference together. The request becomes a lead for review.
Operational benefit
After a signed agreement and approval, the earlier details stay connected as onboarding begins and the approved contact is invited.

This request-to-onboarding workflow is live and in use. The image shows the public website; the workflow description contains no private client record.

How I work

Keep what works.
Connect what is missing.

Keep what works. Configure before integrating. Integrate before building. Build only the missing piece.

Not every project needs every stage.

  1. Find the friction

Start with where the work gets delayed, repeated, or passed along without enough information. The free review is a short first assessment. Implementation begins with an agreed workflow and boundaries.

  2. Build the solution

Check what the existing software can already do. Configure that first, and scope custom development separately when the missing part needs to be built.

  3. Connect the work

Connect the agreed steps and test how information moves, including incomplete requests, exceptions, and staff approvals. Make clear who handles each next action.

  4. Measure and support

Check that the agreed paths work and hand over how to operate them. Ongoing workflow support is scoped separately; the website care plan does not cover custom operational systems.

When estimate follow-up is the problem

The Estimate
Follow-Up Sprint.

If you already receive inquiries and send estimates, but follow-up and scheduling depend on memory, this existing fixed-scope offer may fit.

$3,500 fixed · 30 consecutive days

One inquiry-to-scheduling workflow for one business and one operating location.

The Sprint focuses on existing tools, configuration, integrations, and focused automation. Custom application development is excluded unless separately scoped. Third-party software and transaction fees are paid separately by the customer.

Before starting

A useful next step,
with clear boundaries.

Do I need to replace my current software?

I start with the tools that work. During scoping, I check whether their existing features, an integration, or a focused custom addition can handle the agreed workflow. Replacement needs a specific reason and an agreed scope.

Is everything on this page included in the Sprint?

No. The Sprint covers one inquiry-to-scheduling workflow within its published boundaries. Membership systems, client portals, and other custom operational software are separate work, scoped around the business. Read the Sprint inclusions and exclusions.

What does a workflow project cost?

The Estimate Follow-Up Sprint is $3,500 fixed. Other implementation is quoted after the workflow, tools, access, and boundaries are understood. Website work, third-party fees, and ongoing workflow support are separate scopes.

What should I bring to the free review?

A few sentences about what keeps getting dropped, delayed, or handled manually, plus the tools you use now. You do not need a process map. The free 20-minute conversation ends with a plain recommendation; it is a short initial assessment, not a written audit.

Start with the work

What keeps landing
back on you?

Tell me where the process gets stuck. I read the request, then follow up using the contact you give to arrange a free 20-minute review. You get a plain recommendation for the next step. If it is outside what I do, I will say so.

If the main problem is helping customers understand the business and make contact, start with the website.
