Pilot program · Volunteer management for small nonprofits

Turn volunteer interest into reliable coverage.

The many hands pilot gives a small nonprofit one place to manage volunteer profiles, availability, qualifications, open opportunities, assignments, check-in, and verified hours. I configure the workspace around the programs and events the organization already runs.

The coordination problem

Volunteer scheduling should not live in one coordinator's head.

Forms, spreadsheets, text threads, calendars, training records, and sign-in sheets create a chain of manual handoffs. The system should show who can help, who is assigned, what remains open, and what actually happened.

01

Interest is disconnected

People complete a form, but staff still re-enter information and decide what happens next through email or memory.

02

Coverage is unclear

Open roles, recurring shifts, substitutions, and last-minute changes are tracked across separate calendars and messages.

03

Participation is hard to prove

Hours, attendance, qualifications, and program history are reconstructed later when operations or reporting need them.

The volunteer workflow

From first interest to a verified record of participation.

  1. Register

    Create the volunteer profile

Capture contact details and the information the organization needs to begin the relationship.

  2. Qualify

    Record readiness

Track availability, training, qualifications, clearances, and any role requirements staff must verify.

  3. Publish

    Define the open need

Create recurring opportunities, one-time events, outreach shifts, or program roles with clear dates and requirements.

  4. Assign

Put a name on the work

Fill openings from the volunteer pool and give staff one view of confirmed assignments and remaining gaps.

  5. Check in

    Record participation

Confirm who arrived and connect attendance to the opportunity or shift that was actually served.

  6. Verify

    Keep the history

Build an organization-owned record of verified hours, assignments, and participation for operations and reporting.

many hands capabilities

The operating pieces behind reliable volunteer coverage.

  • Volunteer profiles and contact records
  • Recurring availability and exceptions
  • Training, qualification, and clearance fields
  • Role requirements and expiration visibility
  • Recurring opportunities and one-time events
  • Open needs, shifts, and assignments
  • Coverage visibility for staff
  • Check-in and participation confirmation
  • Verified volunteer hours
  • Organization-owned history and exports
  • Role-based staff access
  • Founder-led configuration and training

many hands can record clearance status and requirements, but mu works does not perform or adjudicate background checks. Payroll, volunteer reimbursement, donor CRM, medical records, and participant case management remain outside this system.

Connected nonprofit operations

Volunteer data becomes more useful when the public and funding workflows connect.

  1. 01

    The website invites action

A clear volunteer path helps a community member understand the need and register without hunting for the right form.

  2. 02

    many hands manages participation

The volunteer record, readiness, assignment, and verified service history stay in one operating workspace.

  3. 03

    Yui can reuse approved evidence

Reviewed participation totals and program evidence can support grant applications and reports without rebuilding the story from scattered files.

Best fit

Built for organizations where volunteers carry recurring work.

A strong fit

  • Recurring programs, events, distributions, outreach, or classes
  • Volunteer availability and qualifications affect assignments
  • Staff need a clear view of open and filled roles
  • Verified hours support operations, recognition, or reporting
  • One internal owner can maintain the volunteer process

Not the right fit

  • A donor stewardship CRM is the primary need
  • The organization needs payroll or reimbursement processing
  • Clinical or participant case records belong in the volunteer system
  • No staff member can own assignments and data quality
  • The request is for unlimited custom software before the workflow is defined

Volunteer management questions

Practical answers before implementation.

Can many hands manage recurring and one-time volunteer needs?
Yes. The workspace can represent recurring opportunities, one-time events, outreach shifts, and other defined needs, then connect volunteers to assignments.
Can it track training and clearances?
It can store the fields, requirements, status, and expiration information the organization agrees to maintain. Staff remain responsible for verification and any background-check decisions.
Can we bring our current volunteer spreadsheet?
Current records can be imported when they fit the agreed template and data boundaries. Historical reconstruction, duplicate cleanup, and incomplete records are scoped separately when needed.
Is many hands only for Louisville nonprofits?
No. mu works is based in New Albany and primarily serves Louisville, Southern Indiana, and nearby communities. Remote implementations can be considered when the workflow and ownership model fit.
