Yui in development · Grant operations for small nonprofits

Keep grant research, drafting, deadlines, and reporting connected.

Yui is in development as one reviewed workspace for grant opportunities, fit decisions, approved organization facts, program evidence, drafts, budgets, deadlines, awards, and reports. I am speaking with small nonprofit teams now to validate the workflow before broader availability.

The grant operations problem

The organization should not have to rebuild itself for every application.

Mission language, program descriptions, leadership details, budgets, evidence, prior answers, deadlines, and reporting obligations often live in different folders and inboxes. Yui organizes the work around one reviewed record of what is true.

01

Research is separated from decisions

Potential grants are found, but eligibility, fit, restrictions, effort, and the reason to pursue or skip are not kept together.

02

Drafts restart from memory

Approved facts and prior answers are scattered, so staff rewrite the same organization and program information under deadline pressure.

03

Awards create hidden obligations

What was promised, when reports are due, and how the approved budget connects to reporting can become another disconnected tracker.

The funding workflow

Find it. Qualify it. Write it. Review it. Submit it. Report it.

  1. Find

    Create the opportunity record

Bring in a grant and organize the funder, amount, deadline, eligibility, restrictions, source links, and required materials.

  2. Qualify

    Decide before drafting

Review fit, risks, restrictions, effort, and the reason to pursue or skip before staff invest significant application time.

  3. Write

    Draft from approved knowledge

Use organization facts, program information, budgets, documents, evidence, and previously approved answers as source material.

  4. Review

Check the answer and the evidence

Confirm that the draft answers the question, the numbers align, and material claims are supported by the organization's records.

  5. Submit

    Keep the human decision

Your team reviews and approves every application, budget, and report, then submits through the funder's own process.

  6. Report

    Track what the award requires

Keep the submitted application, award details, approved budget, reporting deadlines, and reporting work connected.

Approved organization knowledge

Build a reusable source of truth for grant work.

Yui is most useful when the organization can distinguish approved facts and evidence from draft language that still needs review.

  • Organization identity and leadership information
  • Mission, history, and service-area facts
  • Program descriptions and intended outcomes
  • Population and community context
  • Budgets and approved financial inputs
  • Evidence documents and source links
  • Previously approved application answers
  • Grant opportunities and fit decisions
  • Drafts, revisions, and review status
  • Submitted application records
  • Awards and reporting deadlines
  • Post-award reporting workspace

The human review boundary

Your team reviews and approves every application, budget, and report. Nothing is sent anywhere without that approval, and the organization submits through the funder's own process.

Yui supports careful research, drafting, review, deadlines, awards, and reporting. It does not act on its own, does not provide legal, tax, accounting, or grant-compliance advice, and does not guarantee funding.

Implementation

What grant operations setup can include.

01

Workspace configuration

  • Organization and program profiles
  • Roles, permissions, and review steps
  • Grant pipeline stages
  • Deadline and award structure
02

Knowledge setup

  • Approved organization facts
  • Evidence library structure
  • Budget inputs and source boundaries
  • Agreed current-record import
03

Operating handoff

  • Human review responsibilities
  • Submission and reporting workflow
  • Staff training
  • Launch and stabilization

Content and data setup follows agreed templates and boundaries. It is a defined import of current information, not unlimited historical reconstruction, unrestricted data cleanup, or automatic submission into funder portals.

Connected nonprofit operations

Better public and volunteer records can strengthen the evidence available to grant staff.

  1. 01

    The website explains the work

Programs, services, events, and impact language create a public structure that can stay aligned with approved organization facts.

  2. 02

    many hands records participation

Reviewed volunteer assignments and verified hours can become useful operational evidence when the organization approves their use.

  3. 03

    Yui organizes the funding record

Applications, promises, budgets, awards, and reports stay connected to the source material behind them.

Scope boundaries

Yui supports the workflow without replacing professional judgment or the organization's systems of record.

  • Guaranteed awards or funding outcomes
  • Autonomous grant submission
  • Submission without human approval
  • Legal, tax, accounting, or compliance advice
  • Nonprofit accounting or restricted-fund accounting
  • Payroll
  • Donor stewardship CRM
  • Participant case management
  • Unlimited custom integrations
  • Unlimited historical data cleanup
  • Automatic truth claims without sources
  • Replacing the funder's application portal

Grant management questions

What the organization controls and what Yui supports.

Does Yui write and submit grants for us?
Yui supports research, fit review, drafting, budgets, deadlines, awards, and reporting. Your team reviews and approves every application and submits through the funder's own process.
Can Yui promise that we will receive funding?
No. It supports a more organized, sourced, and reviewed process. It does not guarantee a funder's decision.
Does Yui replace our accounting system?
No. The organization's books remain in its accounting system. Yui can organize approved grant budgets and reporting work, but it is not a fund accounting platform.
Can we import current grant records?
Current information can be imported when it fits the agreed template and boundaries. Historical reconstruction, incomplete records, and extensive cleanup are scoped separately.
